Administration Officer

Due to the exciting growth and development of Snowy Mountains Grammar School, there is an opportunity for a dynamic, committed and detail oriented Administrator to join our Support Team on a full time basis in 2022.

Position Details

As a member of the Snowy Mountains Grammar School Support Team, the role will predominantly provide comprehensive administrative support directly to the students via the Heads of School. This will be a full-time role. The role is student oriented requiring the person to work independently as well as alongside a team, taking responsibility and care for the accuracy of work in line with the Mission, Motto, Values and Vision of Snowy Mountains Grammar School.

Personal and Professional Characteristics

The Administration Officer requires a high level of organisational skills, accuracy, initiative, flexibility, and the ability to work under pressure with deadlines. This position requires a highly self-motivated individual with the ability to work independently and act with high level of emotional intelligence while producing a high standard of effective work output in an efficient manner.

Confidentiality, discretion and the highest possible standard of integrity and honesty are of significant importance in this role. This person will be a committed solution-oriented person, be able to think and act proactively anticipating the needs of executive leaders. The successful candidate will be a strong contributor to the effective running of the School and have a genuine desire to meet the needs of students, families and staff, and will have demonstrated capabilities in using current technologies.

Key Responsibilities

Organisation and Support

  • Assist with the supervision and monitoring of students and answering student queries
  • Ensure information is entered and kept up to date in the School Database for students
  • Preparation of student data for Academic, Service Learning and Co-Curricular Awards including Presentation Day
  • Review daily staff replacements email to ensure all classes / teachers are covered and update the School Leadership Team with any discrepancies
  • Assist the Heads of School in dealing with sensitive and confidential correspondence and ensuring confidential documents and records are filed and secure
  • Ensure reference material is collected and collated and ready for meetings and be responsible for taking minutes of meetings
  • Responsible for the administration of student excursions and camps, collecting and collating information, liaising with parents and venues, confirming dates and schedules. Ensure risk assessments and medical forms are in place and up to date
  • Ensure telephone calls for Heads of School are screened and analysed using initiative to delegate and follow up action items
  • Organise emails in consultation with the Heads of School
  • Organise events in consultation with the Heads of School. Create event paperwork and liaise with other departments to prepare for the events
  • Assist in the preparation and ongoing checks of the Budget and work with the Heads of School to ensure teaching materials are ordered, received and delivered
  • Assist and support all members of the School Wellbeing and Academic team
  • Assume additional responsibility for any urgent work or cover as required by the Heads of School
  • Assist with overarching School administration tasks, relief reception and first aid, as required to support the School’s administration team

Minimum Requirements

  • Minimum 3 – 5 years’ experience as an Administrator
  • Experience in the use of a large scale database e.g. Sentral or similar
  • First Aid Certificate (or willingness to attain)
  • Current Working With Children Check (or willingness to obtain prior to employment)
